CrawlChat helps teams turn their documentation, website content, and connected knowledge sources into AI agents that can answer questions in a website widget, Slack, Discord, GitHub, MCP, and other supported channels.

This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have. It applies to CrawlChat websites, the CrawlChat application, hosted chat widgets, APIs, integrations, and related services.

Who is responsible for your information

For account, billing, marketing, and product usage information, CrawlChat is the controller of that information.

For content that customers add to CrawlChat, such as knowledge base sources, uploaded files, synced documentation, chat prompts, support tickets, and end-user conversations in a customer's embedded chat widget, CrawlChat generally acts as a processor or service provider on behalf of the customer that configured the CrawlChat assistant. If you interact with a CrawlChat assistant on another company's website or workspace, that company is also responsible for how it uses your conversation and any information you provide there.

Information we collect

Account and team information

When you create or use a CrawlChat account, we may collect your name, email address, profile photo, authentication details, team membership, role, settings, and related account information.

Billing information

If you purchase a paid plan or top up credits, we collect billing-related information such as plan, subscription, transaction, billing email, and payment status. Payment card details are handled by our payment processor and are not stored by CrawlChat.

Knowledge base content

Customers choose what content to add to CrawlChat. This may include website pages, documentation, uploaded files, GitHub repositories, GitHub issues or discussions, Discord or Slack content, Notion pages, Confluence pages, Linear issues or projects, YouTube transcripts, custom API content, and other sources supported by CrawlChat.

We process this content so CrawlChat can index it, create embeddings, search it, cite sources, and generate answers. Customers are responsible for making sure they have the rights and permissions needed to add content to CrawlChat.

Chat, ticket, and message information

When someone asks a question through CrawlChat, we process the message, generated answer, cited sources, channel, timestamps, ratings, corrections, attachments, ticket status, and related conversation details. If ticketing or email verification is enabled, we may also process an email address and ticket messages.

Depending on customer settings and the channel used, messages may include information from Slack, Discord, GitHub, Google Chat, an embedded website widget, the API, or other integrations.

Integration information

When customers connect integrations, we process the information needed to provide those integrations. This may include workspace, server, repository, channel, project, page, installation, or account identifiers; configuration settings; webhook data; and access tokens or API keys. Secrets are used to operate the integration and should only be added by authorized users.

Device, usage, and security information

We collect information about how the service is accessed and used, including log data, IP address, browser and device information, pages viewed, referring pages, approximate location derived from IP address, product events, diagnostics, error reports, rate-limit identifiers, and similar technical information. We use cookies and similar technologies to keep users signed in, remember settings, measure usage, and protect the service.

Information you choose to provide

You may provide information when you contact support, respond to emails, submit feedback, configure an assistant, write prompts, customize branding, invite teammates, or otherwise communicate with us.

How we use information

We use information to:

  • provide, operate, maintain, secure, and improve CrawlChat;
  • create and update knowledge bases, embeddings, search indexes, and source citations;
  • generate AI responses and route messages through selected channels;
  • authenticate users, manage sessions, invite teammates, and enforce access controls;
  • process payments, credits, subscriptions, invoices, and account limits;
  • provide support, send service emails, and communicate about the product;
  • analyze usage, troubleshoot issues, monitor performance, and prevent abuse;
  • comply with legal obligations and enforce our terms; and
  • develop new features and improve the quality, reliability, and usability of CrawlChat.

AI providers and model processing

CrawlChat uses large language model providers and related infrastructure to generate answers, analyze messages, create search queries, and support other AI features. To do this, we send the relevant parts of prompts, conversations, knowledge base snippets, source content, and configuration to the model provider selected for the request.

We do not sell customer content or end-user conversations, and we do not use customer knowledge base content to train CrawlChat models for other customers. We use third-party model providers under applicable terms, privacy commitments, and service agreements. We design CrawlChat to send only the information needed for the requested feature.

How we share information

We do not sell personal information. We share information only as needed to provide and protect CrawlChat, including with:

  • Service providers that host infrastructure, store data, process payments, send email, provide analytics, monitor errors, protect against abuse, and support our operations;
  • AI and search providers that process prompts, knowledge snippets, embeddings, messages, and related data to generate responses or search results;
  • Connected integrations such as Slack, Discord, GitHub, Google Chat, Notion, Confluence, Linear, and similar services, when a customer enables those integrations;
  • Customer administrators and team members who manage a CrawlChat collection, workspace, assistant, support ticket, or integration;
  • Legal, safety, and compliance recipients when required by law, to protect rights and security, or to enforce our agreements; and
  • Business transaction parties if CrawlChat is involved in a merger, acquisition, financing, reorganization, or sale of assets.

Cookies and analytics

CrawlChat uses cookies and similar technologies for authentication, security, preferences, analytics, and product improvement. Some cookies are necessary for the service to work. Analytics tools help us understand product usage and improve the experience.

You can control cookies through your browser settings. Blocking some cookies may affect login, account features, or the chat widget.

Data retention and deletion

We retain information for as long as needed to provide CrawlChat, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business needs.

Customers can delete collections, knowledge groups, and related content from the product. When a collection or knowledge group is deleted, associated knowledge base information is removed from CrawlChat-managed databases. Stored messages older than 30 days are automatically purged annually, unless we need to retain information for legal, security, abuse prevention, backup, or operational reasons.

Backups and logs may take additional time to expire through normal retention cycles.

Security

We use technical and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure. These measures include access controls, authentication, monitoring, and operational safeguards appropriate to the nature of the data we process.

No online service can guarantee absolute security. Customers should configure access controls carefully, keep API keys and integration tokens confidential, and avoid adding information they are not authorized to process.

International transfers

CrawlChat and our service providers may process information in countries other than where you live. When we transfer information internationally, we use safeguards designed to protect it in accordance with applicable law.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal information. You may also have the right to withdraw consent where processing is based on consent.

Account users can update some information directly in CrawlChat. To request access, correction, deletion, or another privacy right, contact us at support@crawlchat.com. We may need to verify your identity before completing a request.

If your request relates to a CrawlChat assistant on another company’s website or workspace, we may refer your request to that customer because they control the assistant and the underlying conversation data.

Children

CrawlChat is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to CrawlChat, contact us and we will take appropriate steps to delete it.

Changes to this policy

We may update this Privacy Policy from time to time. When we make changes, we will update the effective date above. If changes are material, we will provide additional notice when appropriate, such as through the website, application, or email.
